Job Specifics
Duties Description Under the general direction of the Fire Protection Specialist 2 (FPS2), the incumbent will support the activities of the Fire Protection Specialist Fire and Life Safety team within the Office of Fire Prevention and Control (OFPC).
Duties include, but not limited to the following:
•Develops, maintains, and updates database programs and methods of data analysis for the Office of Fire Prevention and Control (OFPC) risk reduction unit and related programs.
•Prepares and edits background summaries, memos and other briefing materials for the FPS 2 and Fire and Life Safety Management team.
•Screens, responds to, or redirects written and verbal inquiries from partners and stakeholders.
•Coordinates the flow of assignments for the unit, establishes deadlines and tracks progress, follows up with staff to ensure completion within established time frames. Advises management of any delays and issues.
•Research laws, rules, and regulations to find alternative approaches to administrative problems or issues.
•Proactively monitors and evaluates data for deficiencies, documents procedures and workflow process and assists in correcting problems.
•Collects, tabulates, and analyzes program and related data.
•Draws conclusions from analyzed data and makes appropriate recommendations.
•Creates a variety of program/subject specific charts and tables in appropriate digital formats, and drafts reports to document analyses and procedures.
•Monitors the use of budgeted unit funds to ensure compliance with applicable laws, rules, and regulations, program and agency policy.
•Assists in the preparation, review, evaluation, and analysis of a variety of reports and other documents specific to the assignment.
•Liaises with various OFPC program staff and other State, local, and federal Agencies of a variety of issues and topics as assigned.
•Assists in the development of office workload and planning standards, staffing requirements and budgets.
•Participates on OFPC and agency work teams and special projects as assigned.
•Maintains utility email accounts.
•Prepares targeted program documents and materials as directed by OFPC staff.
•Coordinates the scheduling of fire and life safety events including planning, communications, logistics, expense tracking, selection, provision and distribution of all relevant event materials, on- site registration staffing and post event evaluations and summaries.
•Assists with procurement activities, commodity specifications, contract reviews and inventory control. Makes recommendations based on past usage reports and experience.
•Develops and maintains unit data base systems and manages records maintenance and retention activities.
•The incumbent will be responsible for the effective administrative support and processing of work assignments for OFPC.
Minimum Qualifications Current New York State Division of Homeland Security and Emergency Services employee with one year or more permanent, contingent-permanent or 55b/c service as a Program Aide and are interested in reassignment; OR Current New York State employees with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
